Overview

Apex Voice Notes helps users record audio, transcribe recordings, and generate written outputs such as summaries, action items, and follow-up emails.

Information stored on your device

Apex Voice Notes stores recordings, imported audio files, titles, dates, durations, transcripts, generated outputs, app settings, and branding choices locally on your device.

Local recordings and metadata remain on your device unless you choose to transcribe, export, import, share, or delete them.

Audio transcription

When you tap Transcribe, Apex Voice Notes uploads the selected audio file to the Apex backend so it can be processed. The backend may send audio and related metadata to OpenAI or another AI service provider to create a transcript.

After transcription, the transcript is returned to the app and saved locally on your device.

Generated outputs

When you generate summaries, action items, follow-up emails, task lists, or speaker transcripts, Apex Voice Notes sends transcript text and your selected output type to the backend. The backend may send that text to OpenAI or another AI service provider to generate the requested output.

Photos and branding

Apex Voice Notes may request photo library access so you can choose a logo or image for the recording screen. Selected branding images are stored locally on your device.

Sharing and exporting

If you share or export a transcript, generated output, or audio file, the data is handled by the destination app or service you choose, such as Mail, Messages, Files, Google Drive, Slack, or Teams.

Data retention

Recordings, transcripts, and generated outputs remain on your device until you delete them or remove the app. Uploaded audio and transcript text are used to complete user-requested transcription and generation. Audio chunk temp files are deleted after processing. Basic job metadata may be held temporarily in server memory for status, troubleshooting, and usage monitoring.

Third-party services

Apex Voice Notes may use OpenAI for transcription and generated outputs, Railway or another hosting provider for backend processing, and Apple services for app distribution and native device functions.
